It is that time of year again when Committee positions are up for grabs and you get the opportunity to put your hand up to assist run the best car club in Australia (I reckon anyway) and have a great time doing it!
The AGM is held after the general meeting tomorrow night (Tuesday 22nd July), so come along and have your say on who will be in the 2014/2015 year Eastside Cruisers Committee.

Also a reminder to all members that along with the AGM, it is also the time to renew your membership. You will have until the last day of August to renew before the price rises to $60.00. So bring along your membership renewals, and If your keen to put your car on the Dyno on Saturday (26th of July at Goodguys Performance Bayswater), bring along your entry money to secure a time slot.

This includes playing an active role in attending and running of all club meetings AGM included. Attending and assisting with the preparation of runs and club events. Being available to liaise with members of the Eastside Cruisers and other club’s who make contact. The President is responsible for replying to all emails in the club’s Hotmail account, also responsible for sending group emails and SMS’s in regard to up and coming events and runs.
Vice President: The role of the Vice President is to assist the President and all other committee members in any way required. Vice President also needs to be available to fill in for the President at any club events or club meetings that he / she are unable to attend. The Vice President is also required to step up into the Presidents role if for any reason the president is unable to carry on for their full elected term. The Vice President is also required to take on the role of the Public Officer (this requires you to review, sign off and submit the clubs annual financial report to the tax office).
Secretary: The Secretary needs to take accurate and correct minutes of all meetings (General Club meetings, Committee meetings and the Annual General Meeting). The minutes of the meetings are to be distributed via email amongst the committee members in a timely manner, also posting the minutes up in the Committee section of the forum for archiving purposes. The Secretary is to handle all of the incoming and outgoing hard copy correspondence for the club. This includes the receiving and mailing out of all letters, news letter and sponsorship details and advertising.
Treasurer: The role of the Treasurer is to maintain and control all of the income and outgoing monies for the club, the club bank accounts and club cheque book. The Treasurer needs to keep accurate ledgers of all incoming and outgoing financial records to be summarized at each monthly meeting for the members and at the end each financial year. All funds raised by the club at fundraising events or collected as entry fee’s and payments to participate in club events are to be collected and maintained by the treasurer until banked and the Treasurer is to advise the event coordinator of payments as they are made. The Treasurer will also maintain the club member and sponsor contact list. The member list is to be updated regularly (at a minimum once a month) and needs to be emailed to all other committee members.
Editor: The role of the editor is to produce and distribute the club newsletter six (6) times a financial year (bi monthly). The Editor is required to gather the relevant material to be published including event reviews, member profiles or feature cars, up to date and accurate run lists as well as any new club news (birthdays, new members, weddings, births etc). The Editor is to liaise with club sponsors, keeping their advertisements up to date and assist in creating new advertisements as required. Once the newsletter has been created and designed a PDF copy is to be emailed to the printers and a copy is to be sent to the club e-mail account for archiving. The newsletters once printed are to be collected from the printers and distributed at the next club meeting. The Editor is to make note of all members to receive a newsletter at the meeting and then provide the marked list and left over newsletters to the Secretary to be mailed to all members that chose to pay the $10 postage charge and sponsors.
Events Assistant: The role of the Events Assistant is to focus on assisting in fundraising, event organization including general cruises and social events, fill in for other committee members if they are unable to attend a meeting and/or events, assist the Editor in seeking write ups of events for the newsletter, pre-organizing people to report on Events at club meetings and other duties as required. The Events Assistant is responsible for keeping an attendance record at every club event. With the
information of the attendance record the Events Assistant is to collate the information to work out who will win the High Millage Award at the AGM.
Committee Assistant: The role of the Committee Assistant is to assist the committee in fundraising, also be responsible for all ordering and receiving of payments for all club merchandise and distributing the merchandise orders upon delivery. The Committee Assistant will fill in for other committee members if they are unable to attend a meeting and/or events, assist the Treasurer at meetings with receipts, assist the Events Assistant where possible and other duties as required.
All Committee Members: Are responsible for assisting with running club runs and events, they are also expected to actively source new sponsors to support the club. If a committee member is not able to attend a club event, that member needs to arrange another member to conduct their responsibilities, first cab off the rank would be the Committee Assistant.
